An IVR (Interactive Voice Response) menu is often the first thing a customer hears when they call your business — and a clunky one can cost you the call before a human even picks up. Before touching any software, sketch the actual decision tree: what are the 3-4 most common reasons someone calls you? Sales, Support, Billing, and “something else” covers most small businesses. Keep it to a maximum of 4-5 options — more than that and callers start hanging up out of frustration.
Keep your main greeting under 10 seconds. “Thank you for calling [Business Name]. Press 1 for Sales, 2 for Support, 3 for Billing, or stay on the line to speak with our team.” Avoid corporate jargon — say it the way you’d actually talk to a customer in person.
A common mistake is routing IVR options directly to one person’s extension — if they’re busy or out, the caller hits a dead end. Route to a queue/department instead, so any available agent can pick up.
Something like “Press 0 at any time to speak with an operator” catches confused callers and older customers less comfortable with phone menus — never force someone through a menu with no way out.
Call your own number and go through every single option. It’s the only way to catch awkward pauses, wrong routing, or a greeting that’s too quiet or too fast.
